1. General information

If not stated otherwise in the following sections, personal data will generally not be collected, processed or used when you use our websites.

When you access our website, our web servers will automatically collect general information. This includes the type of web browser, the operating system used, the domain name of the internet service provider, the IP address of the computer you use, the website from which you visit us, the page you visit on our site and the date and duration of the visit.

We cannot use these data to identify the individual user. We only evaluate the data statistically and use them only to improve attractiveness, contents and functions of our websites.

2. The term "personal data"

The EU General Data Protection Regulation (GDPR) defines personal data as follows:

Any information relating to an identified or identifiable natural person (“Data Subject”); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or by one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

3. Legal basis relating to processing of personal data

As far as we obtain your consent for processing activities concerning personal data, Article 6(1)(a) GDPR serves as the legal basis for processing of your personal data.

When processing your personal data is required to perform a contract between you and Trelleborg Sealing Solutions Germany GmbH, Article 6(1)(b) GDPR serves as the legal basis. This also applies to processing activities that are required to implement pre-contractual measures.

As far as processing of personal data is required to comply with a legal obligation that our company is subject to, Article 6(1)(c) GDPR serves as the legal basis.

If processing is necessary for the purposes of a legitimate interest of our company or a third party and if the interests, fundamental rights and freedoms of the Data Subject do not override the former interest, Article 6(1)(f) GDPR serves as the legal basis for processing.

4. Data erasure and storage period

The personal data of the Data Subject will be erased or blocked as soon as the purpose of storage ceases to apply. Storage may further take place when this is stipulated by the European or national legislator in regulations under Union law, laws or other rules that the controller is subject to. Blocking or erasure of the data shall also take pace if a storage period required by the standards mentioned above expires, except if further storage of the data is required for entering into a contract or performance of a contract.

5. Collection and processing of personal data

Personal data will only be collected if you provide them on your own, e.g. to perform an order, for a survey, a lottery or registration for personalised services. There, you will be informed about the intended processing purpose and, if necessary, asked to consent to storage.

The personal data collected within the context of our website will only be used without your consent to process orders or process your requests and may be passed on to the relevant company of the Trelleborg group for this. Only with your consent will there be any use of your data beyond this in a centrally managed database of customers and potential customers and managed under the responsibility of Trelleborg Sealing Solutions Germany GmbH, as well as combination of your data in the Trelleborg group. Use of these data remains limited to purposes of advertising as well as market and opinion research and is possible only for companies of Trelleborg group. You may revoke your respective consent at any time, effective for the future.

Your data will be encrypted before transfer and processing in order to protect them against access by unauthorised persons. Please note that emails sent unencrypted are not transmitted with access protection.

Your data will not be sold, leased or provided to any third parties in any manner other than described here. Transfer of personal data to state institutions and public authorities shall only take place within the context of mandatory national provisions. Our employees, service providers and dealers have been obligated to strict confidentiality by us.

6. Contact options

You may contact us if you have any questions, wishes and suggestions. You may do so, among others, by phone or via our contact form. In such a case, the information provided by you will be stored for the purpose of processing of your contact. We will, of course, use the personal data transmitted to us in this manner only for the purpose for which you provide them to us when you contact us.

The input requested as mandatory on our contact form serves to specify your request, the precise internal assignment and optimal processing of your request. Beyond this, the data collected in this manner will be reconciled with data that may be collected by us otherwise if you have given your corresponding consent beforehand, which you may withdraw at any time, effective for the future. In order to exercise your withdrawal, please contact the office stated at the end of this policy.

7. Data transfer to Trelleborg group companies

A transfer of your personal data to third parties not belonging to the Trelleborg group does not apply, except (i) we are legally obliged to do so, (ii) the data transfer is required for the performance of the contract or you have given your explicit prior consent.

8. Data transfer to external service providers (data processors)

We may transfer your personal data to external service providers provided that they work for and on our behalf and support Trelleborg Sealing Solutions Germany to provide its services. A processing of your personal data by such engaged service providers takes place in according with Article 28 GDPR.

The aforementioned services providers get access only to those personal data as required to provide the respective services. The service providers are prohibited to disclose your personal data or process your personal data for non-authorized purposes, in particular own advertising purposes.

Insofar as external service providers process your personal on our behalf we have ensured through legal actions, technical and organizational measures as well as through regular inspections that such service providers adhere to applicable data protection legislation. There is no commercial disclosure of your personal information to other companies.

9. Registration, free of charge services and newsletter

You may register with us and set up a customer account. For your registration, we collect and store the following mandatory data:

Form of address, first name, last name, title, company name, address, email (user name), phone number, password.

After your registration, you will receive your personal password-protected access and may view and manage the data furnished by you. Registration is chosen freely, but is the prerequisite that you are allowed to use the following services free of charge:

  • Free use of our online tools and other services,
  • Free downloads of whitepapers or other brochures,
  • Free downloads of webinars recordings or lectures and
  • Free e-learning modules.

The registration and use of the aforementioned free of charge services is conditional upon the subscription of our newsletter.

With that newsletter you will receive all current news and information concerning our offers at regular intervals. You need a valid email address to receive the newsletter. We will review the email address entered by you for whether you are actually the owner of the indicated email address or if the owner is authorised to receive the newsletter. For this, we will send an email to the email address indicated by you, the receipt of which you will then confirm. After you have confirmed the email, you will be signed up for our newsletter.

When you subscribe to our newsletter, we will store your IP address and the date as well as time of your registration. This serves security reasons only, in case a third party abuses your email address and subscribes to our newsletter without your knowledge. We will not collect any further data in this context and we will only use them for your subscription to our newsletter.

You can unsubscribe from our newsletter at any time. Details about unsubscribing from our newsletter can be found in each newsletter.. After unsubscription, your data collected for subscription will be erased without undue delay.

10. Applications

You may apply online to Trelleborg Sealing Solutions Germany GmbH via our application portal. Your online application will be forwarded directly to our HR department via an encrypted connection from the application portal operated by Trelleborg AB; it will, of course, be treated confidentially. Of course, we will only use your information to process your application and will not pass them on to any third parties outside of Trelleborg group.

Please note that we offer only the application portal for applications. If you apply to us by email anyway, we expressly indicate that email attachments will not be encrypted.

11. Chatbot

We provide a Chatbot at our website. The Chatbot is a text based query-reply system which allows you to chat with us.

You can use the Chatbot in order to get navigated through our website or to get in contact with a group company of the business area Trelleborg Sealing Solutions or to schedule an appointment with one of our sales employees.

The legal ground for the processing of personal data is our legitimate interest in accordance with Article 6 paragraph 1 lit. f GDPR. It is our legitimate interest to get in contact with you and process your request after you have contacted us via the chatbot. The storage of your personal data is reduced to an absolute minimum. Therefore your fundamental rights or freedoms do not outweigh our legitimate interests.

In terms of the chat we will process your email address and IP address only as well as those person data you voluntarily provide us with during the chat. We will process the aforementioned personal data to pick up the conversation at a later stage or to answer your request.

We will not transfer any data provided voluntarily to any third parties without your prior consent (except if this is permitted under consideration of applicable law; e.g. by data processing agreement) or use this data for any other purposes.

You can simply request the deletion of your personal data by sending a message to Chatbot with your email address and a request for cancellation.

12. Webinars with GoToWebinar 

A webinar is an interactive audiovisual online broadcast or training which enables a large number of participants to actively participate in such webinar. You may participate on a voluntary basis subject to your registration prior the webinar. The following personal data is requested: form of address (optional), title (optional), first name, last name, company name, address (optional), zip code, city (optional), country, e-mail address, telephone (optional).

To provide our webinars we use the tool GoToWebinar provided by LogMeIn, Inc. LogMeIn, Inc. is the controller for the provision of this service and the related data processing associated therewith. The privacy policy of LogMeIn can be found here. In order to conduct the webinar, we will submit your login or customer information to LogMeIn, Inc.

During and after the webinar LogMeIn provides us with several statistics. To the extent you participate in a webinar, ask or answer a question during the webinar, in addition to your credentials we will receive information about your attendance time, your interest in the webinar, the question asked and its answer to further support you or to enhance the user experience.

An encrypted connection is established between you and the organizer of the webinar.

At any time, you can finish the webinar by simply closing the browser window or exit the program or app. In case the session will be finished by the operator, your participation is automatically terminated.

13. Website optimization tools

In the course of the collection of personal data via website optimization tools, we rely on our legitimate interest in accordance with Article 6 paragraph 1 lit. f GDPR in conjunction with recital 47 (overriding legitimate interest). According to this recital direct marketing may be regarded as carried out for a legitimate interest. Your fundamental rights and fundamental freedoms do not outweigh our interest in advertising, as we inform you comprehensively about the data collection in the context of our privacy policy and you always have the option of an opt-out (via link or browser settings). In addition, we only use pseudonymous tracking.

14. Data Security

Trelleborg Sealing Solutions Germany GmbH uses technical and organisational security measures in order to protect your data managed by us from accidental or intentional manipulation, loss, destruction or access by unauthorised persons. Our security measures will be improved continually according to the technological developments.

15. Rights of the Data Subjects

If any of your personal data are processed, you are a Data Subject within the meaning of GDPR and you have the following rights vis-à-vis the controller:

  • Right of access according to Article 15 GDPR

You may obtain from us confirmation as to whether or not personal data concerning you are being processed by us. If we have processed any data concerning you, you have the right of access to further information named in Article 15 GDPR.

  • Right to rectification 

If your data that we have recorded concerning you are inaccurate or incomplete, you may obtain rectification without undue delay in accordance with Article 16 GDPR from us.

  • Right to restriction of processing

Subject to the conditions of Article 18 GDPR, you may have the right to obtain restriction of processing of the personal data concerning you.

After restriction, your data must only be processed with your consent or for the establishment, exercise or defence of legal claims or for the protection of the rights of another natural or legal person, or for reasons of important public interest of the Union or of a Member State. We will inform you before the restriction is revoked.

  • Right to erasure

If one of the grounds from Article 17(1) GDPR is present, you may obtain erasure of the personal data concerning you without undue delay from us, except if any exception from the erasure obligation according to Article 17(3) GDPR applies.

  • Right to provision of information

If you have exercised the right to rectification, erasure or restriction of processing vis-à-vis us, we are obligated in accordance with Article 19 GDPR to communicate this to each recipient of your personal data, except if this notification is impossible or involves disproportionate effort. You also have the right to be informed about the recipients. You have the right to provision of information about such recipients by the controller.

  • Right to data portability

You also have the right according to Article 20 GDPR to receive the personal data concerning you from us in a machine-readable format and to transmit the data to another controller without hindrance, provided that the conditions from Article 20(1)(a) GDPR are present, or to have your personal data transmitted to another controller directly by us where technically feasible and such does not adversely affect the rights and freedoms of others. This right shall not apply to processing of personal data that is necessary to perform a task in the public interest or to exercise official authority.

  • Right to object

You have the right to object to Trelleborg Sealing Solutions Germany GmbH at any time concerning processing of the personal data concerning you in accordance with Article 6(1)(f) GDPR.

We will no longer process the personal data concerning you except if any compelling legitimate grounds for the processing override your interests, rights and freedoms or for the establishment, exercise or defence of legal claims.

  • Right to withdrawal of the declaration of consent under data protection law

You have the right at any time to withdraw your declaration of consent under data protection law by declaration vis-à-vis Trelleborg Sealing Solutions Germany GmbH. The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.
